Neuralia TMS Policies

  • The fee schedule is shown at the top of this page. Completing this form indicates that you have seen and acknowledged these fees.

    The following policy must be agreed to prior to booking an appointment with Neuralia TMS Clinic:

    • All New Patient appointments require a $50.00 deposit to be paid at the time of booking 
      • Your billing information will be held securely at the time of scheduling this initial booking and used to settle any outstanding dues.
    • Neuralia TMS Clinic is a private billing clinic. All invoices must be paid in full on the day of the appointment.
    • Patients who attend the clinic in person may choose to be charged using stored billing information or use EFTPOS on the day.  Neuralia TMS Clinic does not accept cash payments. 
    • Telehealth patients will be charged using stored billing information.
    • Patients under third party payment schemes (e.g. WorkCover, RiskCover) are required to present an acceptance letter (including claim number) at the time of scheduling their initial appointment. Otherwise, the patient will be required to pay upfront and claim the cost back directly.
    • If your provided billing information cannot be used at the time of collecting outstanding fees, a debt notice will be sent and we will be unable to release reports/prescriptions until the outstanding amount has been paid.  We will not be able to book any subsequent appointments until outstanding dues have been settled.
  • In the interest of full disclosure, please be note the TMS clinics are owned by the following providers:
    • Neuralia TMS Palmyra and Como is owned by Dr. Shanek Wick. 
    • Pax TMS is co-owned by Dr. Jonathon Laugharne and Dr. Shanek Wick.
    • Pioneer Health TMS is co-owned by Dr. David Tadj and Dr. Shanek Wick. 
    • Geographe TMS is co-owned by Dr. Stephen Proud and Dr. Shanek Wick.
    • Helena Valley TMS is co-owned by Dr. Shane Head and Dr. Shanek Wick. 
    • Cortical TMS is co-owned by Dr. Cathrin Kusuma and Dr. Shanek Wick. 
    Please also note that your TMS referral is not limited to our clinic. You have the freedom to use it at any TMS service across Australia.
  • We take your privacy very seriously and our Telehealth policy reflects this. All Telehealth appointments require audio and video unless previously agreed upon with your practitioner. Please check your camera/microphone are working prior to your appointment. If your camera/microphone are not working on the day, the practitioner may choose to terminate the appointment and you will be charged as a ‘no show’.

    Neuralia Clinic uses the Telehealth platform Doxy.me to securely conduct appointments. No program installation is required to access your Telehealth appointment. Doxy.me is compatible with computers, tablets and smartphones.  We make every effort to ensure that no delays are caused by electronic equipment failure but this may rarely occur.

    Our Telehealth policy is outlined below:

    • No audio/video recording or photography of Telehealth sessions by either the patient (you), the practitioner or a third party;
    • You may end the Telehealth session at any time;
    • The practitioner will ensure that their environment is private to ensure your confidentiality is being maintained during the Telehealth session;
    • You will ensure that you are in a quiet, private environment with secure internet access, a working camera and microphone and good lighting, with your electronic device (tablet, laptop, phone) placed on a stable surface;
    • You will inform Neuralia Clinic if any other person (eg. spouse, friend) will be present for the Telehealth session prior to the appointment as we have a responsibility to ensure your privacy;
    • You will inform Neuralia Clinic of any changes to your contact details prior to your appointment;
    • Messages sent via the Doxy.me platform will not be seen or actioned by Neuralia Clinic staff.
  • We understand that circumstances may sometimes prevent you from attending your appointment. In order to continue to provide our services and support our staff, we must charge fees for late cancellations and rescheduling. Appointments cannot be rebooked until cancellation fees have been paid in full. Our policy is outlined below:

    • Cancelling/rescheduling appointments with greater than 2 business days*’ notice – full refund of deposit.
    • Cancelling/rescheduling appointments with less than 2 business day’s notice – deposit is retained as late fee.
    • ‘No show’ or cancelling/rescheduling appointments with less than 2 hours’ notice (including out-of-hours for early morning appointments) – full fee of the appointment as listed in the fee schedule.
    • Face-to-face appointments can be changed to Telehealth at short notice and will not incur any additional fees. Payment will be taken prior to the appointment.

    *A business day is considered Mon-Fri from 9:00am to 4:30pm.

  • We are committed to protecting our staff and patients from COVID-19.

    If you have an appointment at Neuralia Clinic but are confirmed to have COVID-19, we will waive any cancellation fees provided:

    • You supply a positive PCR result dated less than 7 days prior to your appointment, OR
    • positive RAT dated less than 2 days prior to your appointment, OR
    • You provide proof that you have been instructed to self-isolate by the Health Department.

    If you have infectious symptoms (fever, sore throat, runny nose, cough, nausea/vomiting) and would like to change your appointment time to Telehealth, there will be no cancellation fees. If you would prefer not to have a Telehealth appointment, our cancellation policy above will apply, and you may be required to pay cancellation fees.

    Telehealth appointments are exempt from the COVID-19 policy and standard cancellation fees will apply.
